Ever been to an HOA board meeting and wondered how it all works? Board meetings are where the association's decisions get made, and owners who show up are better informed and better heard. Here are five tips for making the most of your next meeting.
1. Read the agenda ahead of time
The agenda tells you what the board plans to discuss and decide. Reading it beforehand helps you understand the context, prepare questions and decide which items matter most to you. If financial reports or proposals are shared in advance, skim those too.
2. Watch for the owner comment period
Many meetings include a time set aside for owners to share their thoughts with the board. That is your opportunity to speak. Know when it happens on the agenda so you do not miss it.
3. Keep comments brief and respectful
Remember that your board members are volunteer neighbors. Clear, concise comments are easier for the board to consider, and a respectful tone keeps the conversation productive. If you have several points, consider focusing on the most important one or two.
4. Understand executive session
Some topics, like legal matters or individual owner accounts, may be handled in a closed executive session. This is not about keeping owners in the dark. It protects privacy and the association's interests on sensitive matters. Your governing documents and applicable law describe what may be discussed in closed session.
5. Raise specific concerns early
Have a specific concern, such as a maintenance issue or a question about your account? Reach out to your community manager before the meeting. Many issues can be resolved directly, and the manager can tell you whether the topic belongs on a board agenda.
Why showing up matters
Board meetings are where budgets are discussed, projects are approved and policies are adopted. Attending helps you understand why decisions are made, and it shows the board that owners care. Some decisions also require owner votes, which may depend on reaching quorum, so participation really counts.
Your voice matters, and showing up is the best way to use it. Accord owners can find meeting notices and community information through the HOA Portal at accordhoa.com.
