The Life of an HOA Maintenance Request

By the Accord Property Management team |

What happens after you report a common-area issue? Follow a maintenance request from submitted to closed, and learn how to keep it moving.

Well-maintained common area amenity in an HOA community

You noticed a broken sprinkler head, a damaged fence or a light out in the parking lot, and you reported it. What happens next? Here is the typical journey of a maintenance request in a professionally managed Colorado HOA.

1. Submitted

An owner reports a common-area issue. At Accord, owners can submit requests through the HOA Portal at accordhoa.com. Clear details make a big difference: describe the problem, give the exact location, such as a building number or the nearest address, and add a photo if you can.

2. Reviewed

Your community manager reviews the request and confirms whether it is an association responsibility. This step matters because not everything on or near your home is maintained by the HOA. Your governing documents spell out which items are the association's and which belong to the owner.

3. Assigned

If the item is the association's responsibility, the work is assigned to an appropriate vendor, such as a landscaper, plumber or fencing contractor. Larger projects may need board approval or bids before work can begin.

4. Completed

The vendor completes the work. Timing depends on the type of work, vendor availability and the weather. In Colorado, seasonal conditions can affect schedules, for example when the ground freezes or after a big storm when many vendors are busy.

5. Closed

Once the work is done, the request is closed with an update so you know where things stand.

Tips to keep your request moving

  • Be specific about location. It helps the manager and vendor find the issue quickly.
  • Check your documents. Some items, such as certain windows, doors or fixtures, may be the owner's responsibility.
  • Submit one issue per request when possible, so each item can be tracked.
  • For emergencies involving safety, call 911 first. Then contact your management company's emergency line.

Why a process helps everyone

A consistent process means requests do not slip through the cracks, the board can see what is happening, and owners get updates. Not sure who maintains an item? Contact your community manager and we will help you find out.
